What Data We Collect
We collect personal data that you provide directly to us when submitting an application, contact form, or enquiry. This includes your full name, email address, phone number, date of birth, nationality, language skills, current location, and any additional information you choose to include in your application profile. For host families, we additionally collect household details, number of children, and address information necessary to process a placement.
How We Use Your Data
We process your personal data to assess and process your application (legal basis: performance of a contract, Art. 6(1)(b) GDPR); to match au pairs with suitable host families and vice versa; to communicate with you regarding your application and placement; to comply with our legal obligations under German and EU law; and, with your explicit consent, to send you relevant news or updates about our services.
Who We Share Data With
We share your personal data only with the matched counterpart in a confirmed placement and only after both parties have expressed mutual interest. We do not sell, rent, or trade your personal data to any third party. We may use third-party service providers for hosting, email, and communication tools, and we maintain data processing agreements with these providers in accordance with Art. 28 GDPR.
How Long We Keep Your Data
Application data is retained for the duration of the placement process. If no placement is made within 18 months, your data will be deleted unless you request an extension in writing. For confirmed placements, relevant records are retained for up to 6 years after the end of the placement to comply with statutory German commercial and tax record-keeping obligations.
Your Rights
Under the GDPR, you have the right to access the data we hold about you; to correct inaccurate data; to request deletion of your data; to restrict processing; to data portability; and to object to processing. To exercise any of these rights, please contact us at inquiries@aupairgarden.com. You also have the right to lodge a complaint with the German data protection authority (Bundesbeauftragte für den Datenschutz und die Informationsfreiheit).
Data Security
We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure. All data transmissions via our website are encrypted using TLS. Access to personal data is strictly limited to staff directly involved in the placement process.
International Transfers
Au Pair Garden operates within the European Union. If your data is transferred to or processed by a provider outside the EEA, we ensure appropriate safeguards are in place, including Standard Contractual Clauses as required under Art. 46 GDPR.
Changes to This Policy
We may update this Privacy Policy from time to time. The most current version will always be available on this page. We will notify registered applicants of any material changes by email.
